Overview

As Development Administrator you will provide administrative assistance to the team who handle Individual Membership and Donor Relations, engaging with members and philanthropic supporters. You will provide administrative support for the membership process, for the conversion of individuals into philanthropic supporters of the institute, and the deepening of supporters’ relationships with Chatham House over time.

 

In this position you will have the opportunity to gain experience of membership, fundraising and client engagement in a world leading international affairs think tank. As part of the External Relations Department you will have broad exposure to high level events and receptions. Responsibilities

Donor and Individual Account Management

 

Provide support to the team's account management processes by:

  • Drafting pro-forma donation request forms
  • First drafts of supporter and prospect profiles and updating them where necessary
  • Helping answer membership queries online
  • Ensuring that database record-keeping is accurate and timely
  • Compiling the stewardship process manual

Event Logistics

 

The team puts together a number of dinners for donors and other ad hoc events and you will oversee the end to end process which includes:

  • Leading on logistical arrangements for team events
  • Crafting and refining process checklists
  • Drafting template event invitations
  • Monitoring donor event attendance

Financial Administration

 

  • Processing team income from members and philanthropic supporters weekly
  • Ensuring accuracy of accounting records on a monthly basis

Mailings

 

  • Generating lists for periodical team mailings from the Chatham House database
  • Processing online and hard-copy mailshots
  • Organising mailings by post

Qualifications

Essential Qualifications and Experience

 

  • Educated to degree level (or equivalent experience)
  • Office experience, ideally at least one year within a corporate or business environment
  • Strong administrative and organisational skills
  • Excellent communication and interpersonal skills (written and oral)
  • Computer proficient with Microsoft Office
  • A high level of accuracy and attention to detail
  • Ability to work in a team and with individuals at all levels displaying tact, sensitivity and diplomacy at all times

Desirable Skills and Experience

 

  • Experience of mail merges and CRM databases
  • Some background knowledge or experience of fundraising
  • An interest in international relations
  • Knowledge of event organisation
  • Experience of handling complex processes, including financial ones
